CommuniKids Enrolment & Privacy Policy

At CommuniKids Education, we aim to provide families with clear and transparent enrolment arrangements while maintaining a safe, supportive and professional learning environment for every child.
By enrolling in a CommuniKids program, parents and guardians acknowledge and agree to the following policies.
1. Assessments & Trial Sessions
A complimentary initial assessment is available for first-time students.
The purpose of the assessment is to help us understand the child’s current learning level, strengths and areas where further support may be beneficial.
Following the assessment, CommuniKids will recommend the program or learning pathway that we believe is most suitable for the child.
Selected courses may also offer a subsequent trial session. Where a trial fee applies, the fee is non-refundable.
Once a student has enrolled following an assessment or trial, course changes are generally not permitted unless exceptional circumstances apply and an alternative arrangement is approved by CommuniKids.
2. Absence & Make-Up Classes
Each student is entitled to one complimentary make-up opportunity per school term.
Where a student misses a class, CommuniKids will prioritise arranging a make-up by placing the student in another suitable class of the same duration and equivalent value, subject to availability.
The content covered in the alternative class may not directly continue from the student’s regular class and may not match the exact lesson that was missed. However, CommuniKids will ensure that the alternative class is appropriate for the student’s age, current learning level and ability.
If no suitable equivalent class is available, CommuniKids may instead arrange a 20-minute one-on-one make-up session with a teacher.
CommuniKids may also provide relevant lesson materials, worksheets or teacher notes so that the student can catch up on missed content at home with the support of a parent or guardian.
From the second make-up request onwards within the same school term, a $30 make-up fee applies for each teacher-led make-up session, whether the make-up is arranged through an alternative group class or a 20-minute one-on-one session.
Where a family only receives lesson materials, worksheets or teacher notes to complete at home, this is not considered a teacher-led make-up session.
All make-up arrangements are subject to class and teacher availability and must be confirmed with CommuniKids in advance.
Make-up opportunities should be used within the relevant school term and cannot be accumulated or carried forward indefinitely.
3. Withdrawal & Refunds
Families wishing to withdraw from a course must provide at least four weeks’ written notice.
For withdrawals taking effect during a school term, an amount equivalent to two weeks’ tuition fees will be retained.
If written notice is provided at least four weeks before the beginning of the next school term and the student will not be continuing into that term, no additional withdrawal compensation fee will apply.
Any remaining refundable fees will be processed within 14 business days.
4. Student & Family Information
For enrolment and administration purposes, CommuniKids may collect information including:
the child’s full name;
date of birth;
gender;
current school;
year or grade level;
residential suburb and postcode;
parent or guardian name;
telephone number;
email address;
emergency contact details; and
authorised pick-up information.
Parents and guardians are responsible for ensuring that the information provided to CommuniKids is accurate and kept up to date.
Please notify CommuniKids promptly if there are any changes to contact details, emergency contacts, authorised pick-up arrangements or other information relevant to the child’s enrolment or safety.
5. Emergency Contacts & Authorised Pick-Up
Families are required to provide appropriate local emergency contact details.
Parents and guardians may nominate individuals who are authorised to collect their child from CommuniKids.
For the safety of students, CommuniKids may refuse to release a child to a person who has not been authorised by the parent or guardian unless prior approval has been provided.
Parents and guardians are responsible for notifying CommuniKids of any changes to emergency contacts or authorised pick-up arrangements.
6. Photos, Videos & Media Consent
Parents and guardians will be asked to indicate their consent regarding photographs or videos of their child.
Where promotional media consent is provided, photographs and videos may be used for purposes including:
classroom progress documentation;
CommuniKids social media accounts;
the CommuniKids website; and
promotional and marketing materials relating to CommuniKids programs and activities.
Where promotional media consent is not provided, photographs or videos of the child will not be used for public promotional purposes and will be limited to internal classroom use in accordance with the consent provided by the parent or guardian.
7. CCTV & Child Safety
CommuniKids learning centres are equipped with security cameras to support the safety and security of students, families, staff and the premises.
CCTV footage is used for safety, security and operational purposes and is not used as promotional content.
CommuniKids is committed to maintaining a safe and supportive learning environment for all children attending our programs.
8. Privacy & Use of Personal Information
Personal information collected by CommuniKids is used for purposes connected with:
student enrolment;
initial assessments;
course administration;
communication with parents and guardians;
attendance and make-up arrangements;
emergency contact;
authorised pick-up arrangements;
student safety; and
delivery of CommuniKids educational services.
CommuniKids takes reasonable steps to handle personal information responsibly and to ensure that information is used only for purposes connected with the student’s enrolment, administration, safety and participation in our programs.
Photographs and videos used for promotional purposes will only be used in accordance with the media consent provided by the parent or guardian.
Parents and guardians should contact CommuniKids if any personal or enrolment information needs to be corrected or updated.
9. Communication
CommuniKids may contact parents and guardians using the contact information provided for matters relating to:
assessments;
enrolment;
class scheduling;
attendance;
make-up arrangements;
payments and administration;
learning updates; and
important information relating to CommuniKids programs.
Parents and guardians are responsible for ensuring that CommuniKids has their current telephone number and email address.
10. Policy Updates
CommuniKids Education may update this policy from time to time to reflect changes in our programs, enrolment arrangements or operating practices.
Where a material change directly affects an existing enrolment, CommuniKids will make reasonable efforts to communicate the change to affected families.
The current version of this policy will be available through the CommuniKids website.
